Job Description

Executive Support & Calendar Management

  • Manage and optimize the CEOs’ daily schedules, including meetings, appointments, and travel arrangements.
  • Prioritize and coordinate internal and external meetings across multiple time zones.
  • Ensure the CEOs are well-prepared for meetings with necessary briefing documents, reports, and talking points. 

 Meeting Coordination, Minutes & Follow-Ups

  • Organize and schedule executive meetings, board meetings, and cross-functional team discussions.
  • Prepare agendas, take detailed meeting minutes, and track key action points.
  • Follow up with relevant teams to ensure assigned tasks and commitments are completed on time.
  • Maintain a task tracking system to monitor project deadlines and priorities.

Translation & Interpretation

  • Assist in translating documents, reports, and business correspondence between English and Vietnamese.
  • Provide interpretation support during meetings, ensuring smooth communication between Vietnamese and English-speaking stakeholders.
  • Help draft and proofread bilingual materials for company-wide communication.

Communication & Coordination

  • Act as the primary point of contact between the CEOs and internal/external stakeholders.
  • Draft, proofread, and review emails, reports, presentations, and correspondence on behalf of the CEOs.
  • Maintain clear and professional communication with executive teams, department heads, business partners, and ownership.

Administrative & Operational Support

  • Handle general administrative duties, including document management, filing, and office organization.
  • Manage confidential records, contracts, and business agreements securely.
  • Oversee procurement of office supplies and ensure smooth office operations.
  • Assist in tracking and following up on key projects, initiatives, and deadlines.

Travel & Event Planning

  •  Arrange local and international travel for the CEOs, including visas, accommodation, and itineraries.
  • Support the planning and execution of business trips, factory visits, and high-profile meetings.
  • Organize corporate events, VIP visits, and company-wide meetings as needed.

Confidentiality & Discretion

  • Handle sensitive business and personnel information with the highest level of confidentiality.
  • Maintain secure records of contracts, agreements, and strategic documents.

Special Projects & Business Support

  • Assist in preparing business reports, market research, and executive summaries.
  • Support cross-functional collaboration between TFC and Dary’s leadership teams.
  • Lead or assist in special projects as assigned by the CEOs or wnership.

Job Requirement

Experience & Qualifications

  • Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or similar role.
  • Experience supporting senior executives in a fast-paced, manufacturing, or international business environment is preferred.
  • Fluent in both English and Vietnamese, with strong translation and interpretation skills.

Skills & Competencies

  • Strong organizational and time-management skills to handle multiple priorities efficiently.
  • Excellent written and verbal communication skills in English and Vietnamese.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and administrative tools.
  • Experience in meeting coordination, minute-taking, and follow-ups to ensure timely task completion.
  • Ability to work under pressure, meet deadlines, and maintain professionalism at all times.
  • Strong interpersonal skills and the ability to build relationships across different teams and cultures.
